The Windsor Club offers elegant settings and professional catering staff to help ensure your wedding is truly a day to remember.
Our professional event planning consultants have the knowledge and experience to help you plan your special day thoroughly and well in advance. At the same time, our flexibility and dedication to service enables us to respond creatively to inevitable last-minute changes and requests.
Most important of all, our staff members are friendly and approachable. We appreciate how important your wedding day is to you, and how important it is that your wedding celebration reflects your personal style.
The historic Windsor Club has been the setting of many important gatherings in our 106 year history. But our staff members believe that every event at the Windsor Club is special.
Through our attention to detail, careful advance planning, and personalized service, we can help ensure your wedding celebration is everything you hope it will be.
Special Linen: Set the tone with floor length tablecloths and/or colored napkins. Tablecloths and napkins vary in price according to fabric and size. White linen provided at no extra charge.
Entertainment: Musical Entertainment such as Pianist, Guitarist, Harpist and Jazz Trio to full Band or suggestions for DJ services.

An "inquiry" acknowledges your interest in booking an event; it does not hold or reserve a room. A "tentative" reservation holds a room temporarily, and your decision to either confirm or release the tentative reservation may be required on short notice. A "confirmed reservation” with a deposit is a commitment between you and the Club to proceed with the reservation.
Banquet Menus & pricing
- You may choose from our banquet menu suggestions or menus can be tailored to your requirements.
- Special dietary substitutions are available and can be arranged.
- Prices of printed menus are guaranteed for 90 days.

Requests for a variety of entrees
- Some form of entree identification is required at the guest dinner table, i.e. colored tickets, name tags, etc. This will enable better service by our staff.
- Normal guarantee procedure is required with identification of entree selections.
- If guarantee is not met, the highest entree price will prevail.
Attendance Gurantee
- The Windsor Club requires a guaranteed chargeable minimum number of guests attending, at least 48 hours prior to the event.
- If no final guaranteed number is provided, the expected attendance figure last provided by the client will be the guarantee.
- A 5% increase in attendance is allowable depending on room capacity provided the increased number is submitted in writing 24 hours prior to the event.
- Please note that for last-minute increases over the guarantee, the Club may not be able to serve the same meal as selected for the guaranteed group.
Bar Requirements & Pricing
- Functions may offer a cash bar or a host paid bar, either way all charges are based on consumption.
- Cash bars require a cashier. The fee is $20.00 per hour per cashier, with a 4-hour minimum.
Club Courtesies
- CELLULAR TELEPHONES:
The use of cellular telephones is not permitted on Club premises. Cellular telephones must be turned off as you enter the Club. - DRESS CODE:
Business casual dress is acceptable in private function rooms. No jeans, white shoes (unless special permission is granted) or t-shirts please. Cloakrooms are located in the main lobby.
Damage or loss of merchandise
The Club does not assume responsibility for damage or loss of any merchandise or articles left in the Club prior to, during, or following the banquet or meeting.
If articles are left behind, they will be turned into the Admin office. Please call 519-258-1465 to claim lost articles. The host of the event will be financially responsible for any.
Payment Terms
Special Events: 50% of the final estimated total is due and payable two weeks prior to the event date. The balance of the final estimated amount is due two days prior to the event either by credit card or certified cheque.
If payment is by credit card, applicable charges will apply such as 2.25% on Visa and MasterCard and 3.5% on American Express.
Exclusivity
The Windsor Club has exclusive rights to cater all food and beverage events.
Guests are not permitted to provide their own food items, with the exception of wedding cakes.
Due to health regulations, no food is permitted to be taken off premises.
Room Rental & Pricing
- Since other groups may be utilizing the same room prior to or following your function, please adhere to the times agreed upon.
- Should your time schedule change, please contact the Catering Department and every effort will be made to accommodate you.
- Room rental charges apply to all private rooms and are based on amount of people and food & beverage requirements.
- The number of people anticipated assigns function rooms.
- If attendance drops or increases, we reserve the right to change groups to a room suitable for attendance, with room rental charge appropriate to that room.
Gratuities & Sales Taxes
- A 15% gratuity will be added to all food and beverage purchases.
- 13% HST applied to gratuity.
- 13% HST applied to food and beverage charges.
- 13% HST applied to alcohol.
- 13% HST applied to equipment charges.
Decorations & Flowers
If you plan to provide centerpieces, party favors, or other decorations, please speak to the Food & Beverage Manager regarding delivery and pick up.

Receiving & Storage of belongings
Small amounts of materials and supplies for meetings or banquets may be delivered to the Club one-day prior to the event. Please ensure all boxes are labeled properly. As storage facilities at the Club are limited, we ask that all property be picked up the day following the event.
Wedding gifts must be taken away the day of the event.
The Windsor Club is not responsible for any belongings left at the club before or after the event.
